Receive domain-based email through your Gmail Account

Because of the limited resources on a webhosting account, it's nearly impossible to set up an email account (as opposed to a forward) and keep all email on the server, particularly if you intend to send and receive a lot of email. As noted elsewhere in this knowledgebase, email will accumulate at an alarming rate and before you know it, your hosting account has exceeded its limits.  You will then have to either delete your email or find another option.

Gmail is an excellent option for email hosting, since it is affordable and you have nearly unlimited resources to keep all your email. You can retrieve your domain-based email and download it to the Gmail servers. The following presumes the domain is protected with an SSL Certificate. Your mileage may vary.
Here's how:

  1. Open your Gmail account.
  2. Click the gear in the top right.
  3. Select Settings.
  4. Select the Accounts and Import tab. 
  5. In the Check mail from other accounts (using POP3) section, click Add a mail account.
  6. Import emails from my other account (POP3)
    1. Gmailify will not normally be available.
  7. Enter the FULL email address of the account to check. Click Next Step.
  8. Enter full email address for USERNAME.
  9. Enter your password.
  10. If located on Monterey By Design servers enter
    1. mail.yourdomainname.com
    2. Port: 995
  11. Monterey Bay Design policy requires you to insure retrieved messages are DELETED from the server AFTER Gmail fetches them. Therefore,
    1. Leave a copy of retrieved messages on the server - LEAVE UNCHECKED
      1. All your email will be on Gmail's servers
    2. Always use a secure connection (SSL) when retrieving mail - CHECK
    3. Label incoming messages - Check the box if you’d like to easily see which emails in your inbox came from this account
    4. Archive incoming messages - LEAVE UNCHECKED
  12. Click Add Account. If you get an error message while getting set up, click the Show error details link to find out more about what’s not working.
    • If you get a message saying that POP is disabled, go to the settings page of your other email account and look for a way to enable POP.

  13. Once your account has been added successfully, you'll be asked if you want to be able to send mail as this address. This lets you compose messages in Gmail, but have them appear to be sent from your other email account.
